Creating print queues

Print jobs are stored in a queue until the Print Server sends them to an attached printer. If you followed the instructions for setting up the Print Server in the "Getting Started" manual that came with your software, you've already created an AppleTalk print queue and attached one printer.

You can create additional print queues to serve other workgroups or to offer additional print choices and improve printing performance. You can change print queue settings. You can create up to 10 queues, and you can attach up to 30 printers.

Guidelines for attaching multiple printers to a queue

Every PostScript™ printer comes with a PostScript printer description (PPD) file that describes the printer's capabilities. When you attach the first printer to a queue, the Print Server assigns to the queue that printer's PPD file. TCP/IP does not support PPD.

To avoid making printer features unavailable and to prevent printing errors, consider the following when creating queues:
Create separate queues for printers that have different capabilities. For example, don't assign color and black-and-white printers to the same queue. The PPD of the first printer assigned is used.
Assign AppleTalk printers to one queue, and TCP/IP printers to another.
If you want to attach AppleTalk and TCP/IP printers to the same queue, assign the AppleTalk printers before assigning TCP/IP printers. (The Print Server can only get PPD information from AppleTalk printers.)

To create a print queue with multiple printers, see Creating a print queue. To add additional printers to an existing queue, see Editing the attached printers list.

Note: If you attach a color printer to a queue, depending on the LaserWriter driver on the user's computer, it may still print in color even if the first printer attached to the queue is not a color printer.

Creating a print queue

A print queue is a place on the Print Server where print jobs are stored until the Print Server sends them to one of the attached printers. You need to create at least one print queue with one printer attached.

You can create print queues that consist of printers attached to TCP/IP and AppleTalk networks. Users select an AppleTalk queue in the Chooser, and a TCP/IP queue using the Desktop Printer Utility that comes with Mac OS 8.1 or later.

To create a print queue, follow these steps:
1 Log on to AppleShare IP Remote Admin.
2 If the Print Server is not already started, click the Start Print Server button in the Status window.
    3

    Click the Print server button.

4 Click the New Queue button.
5 In the General section, type a name for the queue.
The name can be up to 31 characters and cannot contain special characters. For AppleTalk printers, the name must also be unique within its zone.
If you do not want users to print directly on this printer (as described in step 10), the queue name can be the same as the name of the attached printer.
6 Click the Save & Continue button at the bottom of the page.
7 In the Attached Printers section, choose "Attach AppleTalk Printer" or "Attach TCP/IP Printer."
If you chose "Attach AppleTalk Printer," go to step 8.
If you chose "Attach TCP/IP Printer," skip to step 13.
    8 Click the printer's zone.
    9 Click the printer's name.
10 If you do not want users to print directly on this printer, select Hide.
When Hide is not checked, both the queue and the individual printer appear in the Chooser.
Being able to print directly on a printer may be useful for applications that allow manual feed.
11 Click the Attach Printer button.
12 Repeat step 7 through step 11 for each printer on your AppleTalk network that you want to attach.
13 In the Attach TCP/IP Printer section, type the DNS name (or IP address) of the printer or server you want to add.
You can type a DNS name (for example, "myserver.company.com"), if you've configured your system for TCP/IP and the DNS server on your network has been configured to recognize the IP addresses and domain names of your printers.
You cannot hide a printer attached to your TCP/IP network.
14 Type a name for this printer in the "Printer or Queue Name on server providing LPD" box.
15 Click the Attach Printer button.
16 Repeat step 7 through step 15 for each printer on your TCP/IP network that you want to attach.
17 Repeat from step 4 for each print queue you want to create.
    18 Click Security.
19 To limit the users and groups who can print to this queue, select the Enable Security checkbox.
When security is enabled, only the users and groups you specify will be able to print to this queue. When security is disabled, any user in your Users or Groups list can print to this queue.
20 If you've installed the 8.6.1 or later LaserWriter driver, you can select the "Require Password for Printing" checkbox to require users to enter a password before printing.
    21 Click the Save button.
22 To add a user or group to the secure print list for this queue, click Users & Groups.
23 Select a user to add to the secure queue list, then click Add.
To remove a user, select the user in the "Can print to Queue" list, and click Remove.
24 When you're done adding and removing users, click the Done button at the bottom of the page.

To change print queue settings, see Changing print queue settings.
